Why Deals Still Run on Email

It is easy to treat the email-driven deal as a discipline problem to be scolded out of existence. It is not. It is a structural fact, and understanding why is the first step to actually replacing it.

Email is not a failure of discipline

Every few years someone declares that serious deal teams should stop running deals out of email. They are right about the problem and wrong about the cause. Deals do not live in email because the people running them are disorganized. They live in email because email is the one tool every single participant already has and already knows how to use.

That is a low bar, and it is also an unbeatable one for anything that cannot clear it. A better tool that only half the deal team can access loses to a worse tool everyone can. Until a replacement is genuinely usable by the whole coalition, email wins by default, every time.

Every other tool assumes a single company

Look closely at almost any deal-management or real-estate platform and you find the same hidden assumption: one company, one set of employees, one administrator handing out logins. That assumption is reasonable for most software and completely wrong for a retail deal.

The deal team is a coalition. The broker, the landlord, the general contractor, the architect, the operator, none of them share an employer, and the composition changes from deal to deal. A system built for a single org can organize your side of the deal beautifully and still leave most of the people who matter on the outside, back in email, which means the deal is back in email too.

A tool that could only see one side

This is not a theoretical complaint. At a major specialty retailer, the retail real estate team ran on a stack of spreadsheets, databases, documents, and email, maintained across dozens of outside business partners. We built real tools to help, including a location and activity system and a mapping application, and they worked.

But they could only ever see one side of the deal. Everyone outside the company wall, the brokers and landlords and contractors who actually make deals happen, was invisible to them. The internal team got organized. The coalition did not, because the tools were never built to include it. That gap is the reason so much still falls back to email, and it is the specific problem MyDealTeams was created to solve.

Replacing email means including the outsiders

The lesson is simple to state and hard to build. A tool that replaces email for a retail deal has to be usable by the people who do not work for you, scoped so they see their deal and nothing else, and complete enough that the real work, the scoring, the financials, the approvals, actually happens there rather than in an attachment.

That is the bar MyDealTeams is built to clear: one shared workspace for the whole deal team, with structured site evaluation built in, open to the coalition and scoped to the deal. Not a better inbox. The thing the inbox was standing in for.
